Job Title: Temporary Senior Accountant

Reports to: Chief Financial Officer

Classification: Full-time, Exempt

Location: This is a full-time, in-person position based in San Jose, CA. Remote or hybrid work options are not available for this role.
 

Agency Description

Amigos de Guadalupe (ADG) fulfills its mission by focusing on four strategies: Expansive Outreach (alcance comunitario), Trusted Information & Referral (amigos de confianza), Targeted Direct Services Program (comunidad fortalecida) and Case management (compañerismo). Case Management will be mostly focused on comunidad fortalecida and compañerismo.

Founded on the principles of justice and advocacy, Amigos de Guadalupe Center for Justice and Empowerment partners with the Si Se Puede Collective and local agencies to make social services more accessible to the Mayfair Community; to strengthen individuals and the community through education; and to address social inequities by creating strong leaders through community organizing.

Overview of Position:

Reporting to the CFO, this position conducts grant and contract invoicing, accounting duties, assists with payroll, and prepares journal entries and bank reconciliations. This position works closely with the finance and accounting team members, the CFO, and Program Managers. 

Essential Functions, include but are not limited to: 

Invoicing

Utilizing fund accounting processes, accurately record the expenses and payroll to the correct grant for cost reimbursement billing. Prepares grant and contract invoices and supporting documents in an accurate and timely manner in accordance with deadlines. Maintain relationships with all associated funding partners and program managers. Sends, secures, and saves invoices and backup documents in accordance with accounting policies.  Attention to detail with an expected 98% accuracy.

Payroll 

Collaborates with HR to ensure accuracy and provides payroll backup in the absence of the payroll and accounting specialist.  

Accounting

Assist, as needed, in the timely reconciliation of all bank and credit card accounts. Provides back-up for accounts payable, processes vendor invoices and prepares checks for signature and distribution. Maintains account receivable, including invoicing as necessary. Responsible for tracking and monitoring donations. Acts as a backup to the Finance and Accounting Manager.  Oversee the backup of documentation for invoices and accounting.

General/Reports

Prepares financial reports as needed for the annual audit, tax returns, payroll reports, special analyses, and informational reports. Assist CFO in special reporting needs.

Miscellaneous

Provide ad hoc reports to managers/directors/ED/CFO as requested. Other duties as assigned.

Required

  • Finance/Accounting or similar degree, three years’ experience working as an accountant/bookkeeper and 1 year of payroll experience.
  • Experience with Microsoft programs (Excel and Word), Google programs and Acrobat.
  • Knowledge of government contracts, guidelines, and regulations for fund accounting.
  • Ability to work in the US without an H-1B Visa.
  • Fingerprinting with the DOJ to be paid for by Amigos.
  • Must be adaptable to the new accounting process and programs as changes occur.
  • Ability to work in a fast-paced, deadline-oriented environment.
Preferred
  • Experience working with Aplos, NetSuites, and Paycom
  • Accounting/Bookkeeper Certificate
  • Bilingual in English and Spanish (written and spoken)

Physical Requirements

  • Ability to remain in a stationary position (sitting or standing) for extended periods of time.
  • ​​​​​​​Manual dexterity sufficient to operate standard office equipment such as computers, phones, printers, and copiers.
  • Ability to communicate effectively in person and over the phone, including the ability to hear normal conversation and respond appropriately.
  • Visual acuity, with or without corrective lenses, sufficient to read standard print and view a computer monitor for extended periods.

Compensation

  • Annual Salary: $80,000
